CLIENT ASSOCIATION: International Parkinson and Movement Disorder Society, MDS POSITION REPORTS TO: Director of Meetings, MDS POSITIONS THAT REPORT TO YOU: Meetings Coordinator, Meetings Manager (2) EXEMPT/NON-EXEMPT EMPLOYEE STATUS: Exempt (Minimum of 37.5 hours per week)
GENERAL SUMMARY:
The International Parkinson and Movement Disorder Society (MDS) is a non-profit medical professional society of influential clinicians, scientists, and other healthcare professionals from around the world dedicated to improving the care of patients with movement disorders through education and research. Under the direction of the Director of Meetings, the Assistant Director of Meetings provides oversight and management support for all aspects of the MDS Regional Congresses. Additionally, support Director of Meetings and members of the MDS Meetings Team with scientific program development, abstract management, and faculty management for the Pan American, Asian Oceanian, and International Congresses.
POSITION RESPONSIBILITIES (Minimum of 37.5 hours per week):
Provide oversight of all aspects of the MDS Regional Congresses, both logistical elements and the scientific program development, abstracts, and faculty management.
Prepare planning timelines, develop budgets, administer scheduled projects, and Committee activities
Staff Liaison to PAS Oversight and AOPMC Oversight Committees.
Oversight of meeting logistics, registration, and contracting of hotels, venue and other vendors as needed.
Collaborate Meetings Manager on set up of abstract submission site and any aspects of the posters and Guided Poster Tours.
Review and updating of leadership manual and staff procedure manual annually for all processes and procedures.
Assist Director of Meetings with Congress Scientific Program Committee tasks as required. Attend CSPC In Person Meetings and Zoom calls.
Assist with Site Selection and venue contracting as needed for all Congresses.
Attend all Congress Oversight Committee teleconferences and In person Meetings
Awards Committee Liaison to manage Travel Grants, Junior Awards and Honorary Member selection.
Supervise the Meetings Managers (2) and provide oversight for projects, timelines and deliverables.
Supervise the Meetings Coordinator and provide oversight to their job responsibilities including faculty reimbursements and info box management.
Perform site visits or attend in-person planning meetings as needed
Other duties, as assigned.
AMOUNT OF TRAVEL REQUIRED:
Three to five weeks per year, including international. Some early morning/evening and weekend work required.
EDUCATION/EXPERIENCE:
Bachelor’s Degree preferred, previous association management experience and familiarity with nonprofit boards of directors preferred. Project management, meeting planning and communications experience desired. Excellent organizational and verbal and written communication skills required. Word processing and spreadsheet skills in MS Office environment essential. Ability to manage and prioritize multiple projects and timelines; high accuracy and attention-to-detail. Minimum of two days in the office is required.
PHYSICAL REQUIREMENTS:
Unrestricted mobility: must be able to walk great distances, move quickly from place to place, and lift and move 50-pound boxes.
*This position is located in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.
