CLIENT ASSOCIATION: Hematology/Oncology Pharmacy Association (HOPA) REPORTS TO: Director of Membership DIRECT REPORTS: N/A EXEMPT/NON-EXEMPT EMPLOYEE STATUS: Exempt (Minimum of 37.5 hours/week)
GENERAL SUMMARY We are seeking a dedicated and organized individual to join our organization as a Project Manager. This individual will play a critical role in the Membership Team, including (but not limited to) recruiting, training, and retaining volunteers who contribute to the society’s mission. This position will be responsible for managing projects related to volunteer recruitment and engagement as well as evaluation of project, committee, and volunteer effectiveness. This position requires strong communication and leadership skills, as well as a passion for engaging with and supporting volunteers.
POSITION RESPONSIBILITIES (Minimum 37.5 hours/week) Volunteer Recruitment and Onboarding:
Develop and implement strategies to recruit a diverse pool of volunteers to the various committees HOPA provides.
Collaborate with committee staff liaisons to identify volunteer needs and create detailed volunteer job descriptions.
Foster a positive and inclusive environment for volunteers, encouraging teamwork and mutual support.
Conduct and develop materials for volunteer orientation sessions to familiarize new volunteers with the organization's mission, values, policies, and procedures.
Provide ongoing support, guidance, and mentoring to volunteers, addressing their questions and concerns promptly.
Organize resources to enhance volunteers' professional development and foster a sense of community among volunteers.
Volunteer Recognition and Retention:
Foster a positive and inclusive environment for volunteers, encouraging teamwork and mutual support.
Develop and implement a volunteer recognition program to acknowledge and appreciate volunteers' contributions and dedication.
Regularly assess volunteer satisfaction and committee effectiveness through various tactics, and implement strategies to improve the volunteer experience.
Communication and Collaboration:
Facilitate effective communication with the volunteers individually, internal teams, the association's leadership, and other stakeholders.
Coordinate the timely dissemination of relevant information, documents, and resources to Staff Liaisons and Chairs when necessary.
Maintain and coordinate centralized volunteer database.
Manage communications during committee member selection process among staff members.
Oversee Online Community (HOPA Central), and Special Interest Group (SIG) activities.
Documentation and Reporting:
Maintain accurate timeline of committee turnover process.
Prepare comprehensive reports on committee activities, achievements, and challenges for the association's leadership and relevant stakeholders.
Ensure compliance with regulatory and legal requirements related to committee operations.
QUALIFICATIONS
Bachelor's degree is preferred.
Proven experience in volunteer management, project management, or a related role within a nonprofit or healthcare organization.
Excellent organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
Exceptional communication and interpersonal skills to build relationships and effectively collaborate with diverse stakeholders.
Proficient in using productivity and collaboration tools (e.g., Microsoft Office, Microsoft Teams, Smartsheet, etc.). Experience with iMis a plus.
Attention to detail and a commitment to maintaining accuracy in documentation and reporting.
Ability to work independently and as part of a team, demonstrating leadership qualities when necessary.
Previous association management experience and familiarity with nonprofit boards of directors a plus.
OTHER REQUIREMENTS
Travel of up to 4-6 weeks per year
Some evening and weekend work as needed
Occasional lifting, up to 50 pounds
*This position is located in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.
